A small, respected family office in Boca Raton is seeking a seasoned Administrative Assistant to support their Senior Executive Assistant in managing a diverse portfolio of 12+ residential and commercial properties. This role demands maturity, discretion, and attention to detail. You’ll join a tight-knit team of 3–4 in a peaceful, professional setting where kindness, respect, and loyalty are the foundation. Responsibilities:
- Support the Senior Executive Assistant with day-to-day operations
- Maintain and organize detailed paper and digital filing systems
- Track expenses and reconcile credit card statements
- Coordinate vendors for routine property maintenance
- Run errands: bank, post office, grocery deliveries, etc.
- Monitor and restock office supplies
- Handle administrative tasks related to company/family vehicles (insurance, DMV, servicing)
- Assist with Certificates of Insurance and vendor documentation
- Support occasional calendar and travel coordination
Requirements:
- 10+ years of administrative experience
- Bachelor's degree strongly preferred
- Proficiency in Outlook, Google Workspace, Excel, & Microsoft Teams
- Impeccable organization and attention to detail
- Clear and professional communication skills
- High discretion and maturity; NDA required
- Valid driver’s license and clean driving record
- Notary license and vendor/DMV experience are a plus
- Willingness to respond after hours via text/email, if needed
Compensation & Benefits: $65,000–$75,000/year, health stipend, 2 weeks PTO, birthday + year-end bonuses, annual salary review
