We’re looking for a proactive and professional Workplace Experience Coordinator to serve as the face of our workplace, ensuring a warm and seamless experience for all visitors and employees. This role plays a vital part in day-to-day office operations and event coordination, with a strong focus on communication, organization, and customer service.
Key Responsibilities:
Serve as the first point of contact at reception, greeting all guests and employees with a friendly, professional demeanor
Manage visitor check-in, issue parking and access passes, and ensure adherence to security procedures
Answer incoming calls, respond to emails, and assist with general inquiries professionally
Coordinate and support workplace services such as office supplies, janitorial requests, mail handling, and maintenance work orders
Organize and manage on-site events, including room bookings, setup/teardown, catering, and vendor coordination
Act as the main point of contact for event hosts and vendors; manage vendor visits and associated tasks
Track and manage invoices, support onboarding activities, and perform general administrative duties
Ensure safety protocols are followed and assist during emergency procedures
Support internal communication and provide accurate information to staff as needed
Must-Have Qualifications:
1–2 years of experience in an office or facilities coordination role
Finance or finance coordination experience is required
Strong organizational and multitasking skills, with a keen eye for detail
Proven experience in event planning and coordination
Excellent verbal and written communication skills in English
Proficiency in Microsoft Office Suite (Outlook, Word, Excel, etc.)
Ability to work independently, stay proactive, and handle multiple priorities
Professional demeanor with strong customer service orientation
Nice to Have:
Post-secondary education or a degree in Finance
Experience managing visitor management systems or office admin tools
Typical Workday:
This is a front-facing, solo-site role for the first few weeks. You’ll be based at reception, handling everything from vendor coordination and invoice tracking to event planning and daily office admin tasks.
